Job Duties:
Office Assistants will be responsible for providing essential support at the front desk, assisting with administrative duties, managing package distribution, and ensuring smooth communication between staff members, homeowners, vendors, and the public. Additional duties include, greeting employees, homeowners, vendors, and the public, ensuring a pleasant and professional atmosphere. Office Assistants will also direct visitors to the correct department, individual, or provide the necessary information, and will also answer the main telephone line and provide assistance or direct calls to the appropriate staff members as needed. Will be responsible for receiving, organizing, and assisting in the distribution of UPS, DHL, and Federal Express packages for homeowners or staff personnel. Office Assistants will coordinate with Security personnel to ensure timely and secure delivery of packages to members' homes. Will also be responsible for assisting with the creation, assembly, and mailing of weekly newsletters. Office Assistants will also prepare and affix labels, stuff envelopes, and handle any mailing tasks on a weekly basis, and will also file, organize, and maintain the cleanliness of the office space to ensure an efficient work environment (daily). Office Assistants will also wrap parcels, address them, and prepare outgoing mail for nightly pick-up. Other duties will include ensuring the proper stamping of all outgoing mail, ordering stamps and maintaining inventory of mailing supplies, ensuring stock is regularly replenished, and maintaining and organizing bulletin boards in key areas, including the front of the POA office, ladies' and men's locker rooms, and business center. Will be responsible for creating, checking, and updating bulletin board content daily. Must be able to sit or stand for extended periods. Must be able to lift and carry packages up to 30 lbs. Schedule: 40 hours per week. Work schedule can vary and can include evening, weekend, and holiday hours. Work may be performed on any day of the week from Monday through Sunday. Example shift: 8:30am to 4:30pm. Shift hours may vary. See attached job description for additional information.
