Job Duties:
• Review the contents of the shipment (packing list of each container) and compare it with records (final invoice), such as manifests or purchase orders for coconut milks or canned juices coming from Vietnam; as well as “semitas”, biscuits, condiments and flour that come from Honduras, plantain slides from Colombia; and so on, to verify the accuracy of the physical quantities against the documentation. • Issue the required purchase orders and check stock materials and supplies to keep inventories, such as the labels for the sausages, printed bags for creams and trays for the variety of cheeses that are labeled in the cold room cellar. • Prepare and file documents, such as production orders for custom brands of creams and cheeses (“Pa' mi arrocito”, “Jutiquile Cheese”, “Chapina” Cream, “Queso de Año”, Cream in “Tanqueta”, Corn “Tamale” etc.); bills of lading or shipping orders for commodities imported from El Salvador, Nicaragua, Honduras, among other countries; and coordinate shipments with freight cargo companies. • Record the information of products, purchase orders, production orders and supplies in an inventory management software. • Calculate costs of each final product, considering the timing of preparation; purchase of raw ingredients for each production (creams, cheeses, riguas, or tamales), and manpower; using hand tools (production sheets) and power tools (sealing machine), using the data filed in the inventory management software. • Record data for each shipment, such as final weight per container, charges (freight and cargo handling), space availability (warehouse location), damage or discrepancies (shrinkage and inventory adjustments), these processes for the purpose of accounting reporting or record keeping in an inventory software. • Consult and communicate with the factories representatives to rectify quality problems, product damage, shortages, or stock-outs, as well as non-compliance with the specifications required by the FDA for sale for human consumption for each product imported to the U.S., reporting such issues in the inventory management software. • Communicate with the representatives of the transportation companies to arrange the delivery appointments of the materials in the warehouse, in addition to issuing instructions for the shipment and delivery of the finished orders, recording this date in the inventory management software. • Determine the dispatch or shipment dates for each production, quote prices by route and define freight rates for shipment to each customer's warehouse and record this data in the inventory management software. • Calculate loads on each pallet by weight and height, in addition to reviewing the container storage capacity, as well as demurrage charges, recording such data using the inventory management software for automatization of invoices. • Coordinate with quality control personnel the review of merchandise to ensure that the products labeled with the image and exclusive brands of DMP and De Mi País meet the quality standards offered in the market, reporting discrepancies in the inventory management software. • Complete all the necessary documentation in an orderly, accurate and timely manner so that it is available at any time with the updated data in the inventory management software. • Verify in the inventory software that the sales department received all the orders, to keep updated the inventory; and communicate with the manager about any changes in orders if any of the products are unavailable or do not meet the quality standards. • Maintain an accurate count in the warehouse comparing the physical inventory versus the inventory recorded in the inventory management software system; making the adjustments if needed. • Ensure inventory rotation by expiration dates, using the FIFO method (first in, is first out) using the data recorded in an inventory management software. • Review changes in orders.
